Bookkeeper-Accounts Payable/Receivable Administrative Clerk

This position is for a 17 month maternity leave and will consist of 28 hours per week until February 28, 2028

Job Summary:

In partnership with the finance team and the Executive Director (ED), this role is responsible for the bookkeeping and reporting requirements for Society revenues and expenses both through fund development and as well as other donors or projects as applicable. Responsible for day program billing and reconciliation and accounts payable and receivables and administrative support for all programs as needed.

 Essential Duties

Responsibility

Bookkeeping: 40%

  • Prepare day program invoices, cheques and requisitions for accounts payable (AP)

                  * Submit to vendors and clients for payment 

      * Track outstanding payments and bring to the attention of the ED                                             * Review EFT and online payments for accuracy

  • Reconcile accounts receivable (AR) for donors, in memory and day program fees, include deposits
  • Monitor revenues / expenses for all projects and programs
  • Assist in the preparation of grant proposals, expense tracking and subsequent reporting requirements.
  • Ensure all documents are uploaded into SharePoint for finance team

Reporting: 35%

  • Act as a resource for inquiries from the general public on Society invoicing and receipting within 5 business days.
  • Complete and maintain all AGCO License and Bingo reporting requirements
  • In partnership with Executive Director- maintain running ledgers on fundraising activities and licenses.
  • Make recommendations related to finance analysis of fund development activities.
  • Ensure all documentation is completed and sent to our finance team for quarterly and year-end reporting

Program Management and Professional Development: 15%

  • HR support (draft letters of offer, maintain orientation documents, reference checks)
  • Maintain compliance with the Chapter Standards, policies and procedures.
  • Attend the annual general meeting and staff meetings.
  • Complete an annual self-audit of job mandate and performance with a report on status of existing program and recommendations for improvement
  • Replace reception when they are unavailable

Representation: 10%

  • Convey a positive image of the Alzheimer Society through contacts with the public, marketing, promotion and financial reporting.
  • Liaise with Auditor, Payroll Company, ASO, other societies and community partners to maintain Society representation and legislative accountability.
  • Participate, in a rotation, for our charity bingo time slot

Other Duties:

  • Due to the changing nature of work and the work to be done, other responsibilities and duties may be assigned.

Job Qualifications

Qualifications:

  • One (1)or Two (2) Year Business Administration (Accounting) College Diploma Certificate
  • A minimum of 2 year’s experience in bookkeeping (AP/AR) for a nonprofit charity, or a combination of both a one year certificate and one year experience
  • Advanced proficiency in Office 365 and computerized accounting using Raisers Edge and SAGE software.
  • Ability to relate in a manner that conforms to established policies, procedures and standards.
  • Excellent communication (verbal and written)
  • Exceptional interpersonal skills, including shared decision-making and facilitation
  • Ability to prioritize workload and manage competing tasks
  • Ability to take initiative and be resourceful
  • Excellent problem-solving and change management skills
  • Ability to work independently and be accountable for follow up.
  • Ability to speak French or other languages an asset

Travel Requirements

  • Access to a vehicle with a full class ‘G’ license
  • Use of rental car when approved
  • Minimal travel required for this position

Physical Demands

·       No special physical demands are required beyond the performance of general office duties

·       Significant periods sitting at the computer, but with the opportunity to move away from the workstation

·       Sensory attention is required for the majority of the workday (looking at computer screen, reading documents, etc.)
